How this Document Management System processes information.
Information processed
Account identifiers and profile details received from KingsChat; documents, recordings, comments and review activity submitted by authorised users; access-control assignments; and security/audit events needed to operate the service.
Purpose and sharing
Information is used to authenticate users, control document access, support collaboration, and maintain an audit trail. KingsChat processes sign-in and notification data. When an authorised user invokes an AI or transcription feature, relevant document text or audio is sent to the provider configured by the system administrator.
Storage and access
Application records are stored in PostgreSQL and uploaded files in private server storage. Access is restricted by role, department, ownership and explicit sharing. Provider credentials are encrypted and remain server-side.
Retention and requests
Retention, deletion, export and incident-contact procedures are set by the organisation operating this deployment. Contact your DMS administrator for the applicable policy or to request access, correction, export or deletion where available.
